HVAC software that runs the shop, not just the calendar

A heat-out call at 4pm, a tune-up route that slipped, a Comfort Club renewal nobody chased and an install estimate still sitting unsent. TradesBackbone gives an HVAC shop one system for the office and the trucks — scheduling and dispatch, estimates approved by text, invoices paid by card, maintenance plans and warranties tracked against the equipment they cover.

The HVAC pack is pre-selected when you start from this page.

How a heating and cooling shop runs on TradesBackbone

5 workflows your technicians and your office share on one record. Everything below exists today.

Maintenance plans with renewal built in

Pro and up

Set up Comfort Club-style tiers (the HVAC pack suggests three), enrol customers, and the plan tracks visits per year and the discount each tier earns. Spring and fall tune-ups become scheduled jobs instead of a spreadsheet you forget in March.

Dispatch the day, reorder it when the heat-out call lands

Pro and up

Jobs sit on a dispatch board by technician. When an emergency comes in, route order suggests a driving sequence with drive time per leg, and applying it is a deliberate click — the customer's promised arrival window never moves on its own.

Estimates on the pad, approved before the tech leaves

Build the repair-vs-replace estimate from your price book (the HVAC pack seeds Heating, Cooling, Install, Maintenance and Parts categories), text the link, the homeowner taps Approve. Ask for a deposit at approval on a system replacement; the approved estimate becomes the invoice.

Equipment warranties that remind you before they lapse

Record the parts and labour warranty on the unit you installed. Thirty days before it expires, TradesBackbone queues a service reminder to that customer so the inspection offer goes out while you can still be the one who does it.

EPA 608 and your mechanical license, on the record

Choosing the HVAC pack puts EPA 608 Certification # and HVAC/Mechanical License # on your Licensing & compliance screen, and gives you an HVAC maintenance visit and an HVAC repair call checklist your techs complete on the phone, with before/after photos attached to the job.

What the HVAC pack sets up on day one

Choosing HVAC at signup configures the app for heating and cooling. It is configuration, not a separate product — you can change it in Settings.

HVAC questions, answered

Straight answers about how TradesBackbone runs a heating and cooling business.

Does TradesBackbone handle HVAC maintenance agreements?+

Yes, on Pro and Elite. Membership plans carry a tier, a monthly or annual price, visits per year and a member discount. The HVAC pack suggests Comfort Club, Comfort Club Plus and Total Comfort tiers you can adopt or rename, and nothing is created until you choose to.

Can my techs build an estimate on site and get it approved?+

Yes. Estimates are built from your price book on a phone, sent as a text link, and the customer approves with one tap. You can require a deposit at approval, and an approved estimate converts straight into an invoice with a card or ACH payment link.

Does it track the equipment warranty on a system I installed?+

Yes. A warranty record holds the item, coverage type (parts, labour or both), start and expiry dates and claim status, tied to the customer and job. A reminder is queued to the customer 30 days before expiry, once, so you can offer the inspection first.

Is there a dispatch board, or just a calendar?+

Both. The schedule view is the calendar; the dispatch board shows the day by technician. Route order (Pro) proposes a driving sequence with drive time per leg and you apply it deliberately — it never rewrites a promised arrival window by itself.

What does the HVAC pack actually change?+

It is configuration, not a separate product. It seeds Heating, Cooling, Install, Maintenance and Parts price-book categories with starter items, puts EPA 608 and mechanical license fields on your compliance screen, adds HVAC maintenance and repair checklists, suggests the maintenance plan tiers, and gives you System Inspection, Installation Summary and Equipment Warranty reports. You can change packs later in Settings.

How much does it cost for a 12-person HVAC company?+

Pro includes 10 users; each user beyond that is $40/mo. Every plan starts with a free trial, there are no contracts or implementation fees, and the ladder on this page is the one the pricing page reads.
